Welcome to We Were Here (“we,” “our,” or “us”). These Terms & Conditions govern your use of our website, retreats, group travel experiences, curated itineraries, and all services we provide (collectively, the “Services”). By booking, accessing, or participating in any experience with us, you agree to these Terms & Conditions.

1. Our Services

We Were Here designs and hosts curated travel experiences centered on adventure, food & culture, health & wellness, and philanthropy. Each itinerary is crafted with care and may include third-party providers such as hotels, transportation companies, wellness practitioners, childcare professionals, and local partners.

2. Booking & Payments

2.1 Deposits

• A non-refundable deposit is required to secure your spot for any retreat or travel experience.

• Deposits may vary per trip and will be clearly stated at checkout.

2.2 Payment Plans

• When offered, payment plans must be completed by the deadlines provided.

• Failure to complete payments may result in cancellation of your booking without refund.

2.3 Final Payments

• Final payment is generally due 60–90 days prior to the retreat start date (exact timing will be listed in each offering).

• Bookings made after the final payment deadline require payment in full.

3. Travel Requirements & Responsibilities

3.1 Travel Documents

Participants are responsible for:

• Valid passports

• Visas (if required)

• Vaccination or testing requirements set by destinations, airlines, or governments

We are not responsible for losses due to missing or incorrect travel documentation.

3.2 Airfare

Airfare is not included unless explicitly stated. We are not responsible for flight delays, cancellations, or missed connections.

3.3 Health & Safety

By booking, you acknowledge:

• You are physically and mentally fit to participate

• You will disclose any relevant health information that may affect your safety

• You assume all risks associated with travel, excursions, and activities

A medical professional may be present on-site, but this is not a substitute for personal medical care.

3.4 Conduct

We Were Here reserves the right to remove any participant whose behavior endangers others, disrupts the experience, or violates local laws. No refund will be provided.

4. Changes to Itineraries

Because our trips are curated in partnership with local providers, changes may occur due to:

• Weather

• Safety considerations

• Cultural or community circumstances

• Availability of third-party vendors

We may modify activities, accommodations, or schedules as needed. Any changes will maintain the quality and integrity of the experience.

5. Third-Party Providers

We work with trusted partners. However:

• We do not control third-party providers

• We are not responsible for errors, delays, or actions of any hotel, transportation service, tour operator, or vendor

Your relationship with each provider is governed by their own policies.

6. Liability Waiver

By participating in any We Were Here program, you agree to release We Were Here, its owners, employees, contractors, and partners from liability for:

• Injuries

• Illness

• Loss, theft, or damage of personal items

• Travel disruptions or delays

• Events outside our reasonable control

This waiver does not apply to instances of our gross negligence.

7. Media Release

By attending our retreats, you grant permission for We Were Here to use photos or videos taken during the experience for marketing, storytelling, and promotional purposes, unless you provide written notice opting out prior to the retreat.

8. Intellectual Property

All branding, designs, itineraries, written content, and materials are the intellectual property of We Were Here and may not be copied, distributed, or used without written permission.

9. Privacy

Your use of our Services is also governed by our Privacy Policy.

10. Governing Law
