REFUND & CANCELLATION POLICY

We Were Here curates intimate, high-touch travel experiences that require significant pre-planning, vendor commitments, and advance payments. For this reason, our policies are designed to protect the integrity of each trip and the partners we work with.

1. Participant Cancellations

​

1.1 Deposits

  • All deposits are non-refundable and non-transferable, without exception.

​

1.2 Cancellations Made by Participants

Refund eligibility is based on the date you notify us in writing:

  • More than 90 days before the retreat:
    Payments made beyond the deposit may be refundable or transferable depending on the specific retreat’s terms.

  • 60–90 days before the retreat:
    50% of the total trip cost (excluding deposit) may be refunded.

  • Less than 60 days before the retreat:
    No refunds or credits will be issued.

1.3 No Shows / Early Departures

No refunds, credits, or transfers will be granted for:

  • No-shows

  • Late arrivals

  • Early departures

  • Missed activities or services​

2. Transfers to Another Person

If you can no longer attend, your spot may be transferred to another individual only with written approval and only if the replacement meets all requirements of the trip. Transfer fees may apply.

3. Payment Plan Defaults

Failure to complete payments by the final due date may result in automatic cancellation without refund.

4. Cancellations by We Were Here

We reserve the right to cancel a retreat if:

  • Minimum participation is not met

  • Safety concerns arise

  • Natural disasters, political instability, or unforeseen events occur

In such cases, participants will receive:

  • A full refund or

  • The option to transfer 100% of payments to a future retreat

We are not responsible for:

  • Flight costs

  • Travel insurance costs

  • Additional expenses caused by trip cancellation

Travel insurance is highly recommended.

5. Travel Insurance

We strongly encourage all participants to purchase comprehensive travel insurance that covers:

  • Trip cancellation

  • Medical emergencies

  • Lost baggage

  • Flight delays

Proof of insurance may be required for certain retreats.

6. Force Majeure

We are not liable for changes, delays, or cancellations caused by events outside our control, including:

  • Natural disasters

  • Weather

  • Epidemics or pandemics

  • Government actions

  • Strikes

  • Civil unrest

Refunds for such events will follow the policies of our third-party partners.

7. How to Request a Cancellation

All cancellation requests must be submitted in writing to:

The date of your written notice determines eligibility for refunds under this policy.
